Our Translation Process

At Rapid Translate, we’d like to be transparent about what happens when you send your documents for translation. Here’s a breakdown of our translation process so you know what to expect.

1. Prep Your Documents

The first thing you need to do is make sure your documents are ready for translation. We accept documents sent as .pdf,
.doc, .docx, .jpeg, .jpg, and .png formats.

If you’re submitting a scanned or photographed copy of your documents, make sure all the information is clear and legible.
This includes any stamps, headers, and seals.

2. Request a Quote

New to our services? We recommend asking us for a quote. That way you can get an idea of how much you can expect to pay
for your translation. It may also be a good idea to request a quote if you’re translating a document with complex design
elements or if you have special instructions.

We’ll quickly scan your document and give you the estimate. You can select the turnaround time, type of translation, and
delivery method. Let us know if you have additional instructions, and we’ll get back to you as soon as possible.

3. Place Your Order

After you receive an estimate, place your order. Tap or click the Order Now button on our website and fill in the details. You’ll
need to provide the following information:

Enter your payment information and complete the transaction. That’s all you need to do from your end, we’ll take it from here!

4. Process and Assign Your Documents
for Translation

Once we receive your order, we’ll check if we can easily read the uploaded documents. We’ll also go
through your requirements to understand your expectations. 

We’ll assign your request to an appropriate professional translator depending on the original and target
language. Our translator will always be a native speaker of both languages.

If we have any questions or the uploaded files aren’t clear, our team will contact you right away. If there
are no issues, our translator will start translating your documents.

5. Review and Approve Your Translation

Once the translation is complete, we’ll review the document. Our multi-step process ensures all
translations are high-quality, localized, and accurate. 

Next, we’ll send you an email copy to review. If you need any adjustments, let us know and we’ll take care
of it. If everything looks good, accept your translation.

6. Order Completed and Delivery

If you only requested email delivery, you’re order is complete! If you ordered a physical copy as well, you’ll
get a tracking number for that document. Once you receive your package (typically within 2-3 business
days or next-day with priority shipping), you’re all set!

Order Status Glossary

Here’s a table breaking down different order statuses on your order dashboard.

Status Description
Created You received a free quote, or you created a new account on Rapid Translate.
New We received your order. Before assigning a translator, our team will review your translation order to ensure everything looks good.
In Progress Our translator is working on your document. Please wait until they complete their work. You can check this dashboard or wait until you receive our email.
In Review Our quality assurance team is reviewing our translator’s work. After our team gives us the green light, we'll send the complete translation.
Client Review Our translator finished translating your document. Please check your email address for our email about your order. Approve the translation or ask us for a revision.
On Hold We’re waiting for your response. Please go through your email address and follow the provided instructions.
In Revision Thank you for your feedback. We’re implementing the required changes and will get back to you once the translation meets your requirements.
Approved We received your approval. You’ll get the final version soon.
Finalizing Our team is adding finishing touches to your translated document. We’ll contact you via email as soon as possible.
Completed We completed translating your document. You can download your file. If you need anything else, contact us right away.
Canceled We canceled your order. If applicable, we’ll process your refund.
